Talos has several HR providers integrated within the system.
Learn how to manage and submit candidates from Talos, so candidates details are populated within Fourth HR.
Note: you will need access to the Fourth Onboarding user permissions against your user account to be able to submit candidates using the Fourth Onboarding API.
Submitting a Candidate
Completing the New Starter Form
To submit a candidate to Fourth HR, you will need to complete the New Starter Form in the system.
Navigate to the candidate you would like to submit to Fourth and click on the 'Fourth HR Integration' accordion:
This will load the Fourth New Starter Form which is split into the below sections:
Employment Information
Employee Information
Employee Right to Work
Employment Information
For the Location, Division and Job Title fields, these will need to be completed in that order, as job titles are linked to divisions, and divisions are linked to locations. The options in these fields will reflect those on the Structure and Contract document imported during setup.
Upon selecting a job title, some of the other fields can be pre-populated based upon how your Fourth data is structured:
Employee Information
The employee information will populate automatically using the details provided during the candidate's application. If these were not provided on the candidate's application form, they can be manually added here:
Employee Right to Work
The right to work section will need to be completed by selecting the employee's nationality and proof of eligibility. The options in these fields will reflect those on the Proof of Eligibility document imported during setup.
Submitting the candidate
Once all of the mandatory fields have been completed, select the 'Send to Fourth' button to send the details over to your Fourth Onboarding portal.
Once the submission has been successfully received by Fourth, the candidate will receive a text containing a link to the Onboarding tool. From here, the candidate will complete any onboarding documents set up in Fourth.
We will pass over any immutable data (data fields as set in the ATS), and the candidate will be required to complete everything else such as NoK, Bank Details, etc.
They will also complete their contracts and provide any references if necessary.
Once the employee has completed all of the documents sent by Fourth, the status of the submission will update in the Talos accordion under the candidate's profile.
Viewing the Status
The status of the submission can be viewed under the 'Fourth HR Integration' accordion for the candidate and this will show you where the submission is up to:
Below are the statuses which can be shown against a candidates Fourth submission in Talos:
Onboarding not started
Candidate Completing Onboarding Documents
Candidate Onboarded with Fourth
Request Cancelled
Employee Creation Failed
Info: if an error status is shown for the candidates submission the error will be returned by Fourth to Talos. The error will be shown within a red banner message under the 'Fourth HR Integration' accordion detailing what has caused the failure.
