This guide explains how to update your data retention period within the Talos ATS. In line with GDPR requirements, data controllers, such as yourself, must ensure that personal data is not retained for longer than necessary. To support compliance, Talos ATS provides functionality that allows personal data to be automatically removed after a set retention period.

As the data controller, you are responsible for determining the appropriate retention period for your organisation. By default, the retention period in Talos ATS is set to 2 years.

Thirty days before the end of this retention period, the data subject (i.e., the candidate) will receive an email notification informing them that their data is about to be deleted. The candidate can choose to retain their data for the same period of time. If no action is taken, all personal data will be deleted at the end of the retention period, and the candidate’s record will be anonymised.

Note: any data extracted from the ATS or moved to an external system may not be subject to the same retention rules. It is the responsibility of the data controller to manage such data in accordance with applicable retention policies.

Please see our Updating the Privacy Policy guide for further information on how to update the Data Retention in Talos.
