Talos has several HR providers integrated within the system.
Learn how to manage and submit candidates from Talos, so candidates details are populated within your Sona system.
Note: you will need access to the 'View' and 'Send' HR Connect permissions against your user account to be able to submit candidates to Sona.
Completing Pre-Onboarding Checks for Submission
To submit a candidate to Sona, you/the candidate will need to complete the data capture forms, as well as any pre-onboarding checks that have been enabled on your system (Right to Work check for example)..
Navigate to the candidate you would like to submit to Sona and click on the 'HRConnect - Sona' accordion and this will show you which pre-onboarding checks are still outstanding:
Data Capture Forms
Data capture forms can be completed/sent to candidate to complete from the 'Data Capture Form' accordion tab:
Note: data capture forms be completed in the ATS, however, we would advise the External form is sent to the candidate to complete so this is accurate.
You can send a data capture form manually to a candidate by clicking on the 'Send' button.
Alternatively, you can setup an auto action to send an email to the candidate to complete the form. Please see our setup guide for Sona for further information on setting up the integration with Talos.
Information: the Pay Amount field on the Internal data capture form must contain a whole number only. Any special characters (such as decimal points, commas etc) will cause the submission to fail.
The value supplied will need to be entered in pence. For example:
£12.00 will need to be 1200.
Once all of the pre-onboarding checks have been completed, this will allow you to send the candidates details to Sona to be onboarded with your HR system:
Understanding How Data Is Sent to Sona
When data is sent to your Sona system, it's done in stages (called "payloads"). Here's how it works:
First, we send a payload to create the person or employee in the other system.
Next, once that person is successfully created, we send more data — such as their job role or employment details — using the ID generated from that first step.
Because of how this process works:
If the first step (creating the person) fails, you can correct the data and try sending it again.
If the first step succeeds but later steps fail, the system won’t allow you to resend those later steps. In this case, you’ll need to manually complete the rest of the setup (like adding a job or position) directly in Sage People/iTrent/Sona
We recommend always double-checking the data before sending to avoid manual work later on.
