Fourth Reporting covers every new starter you've sent to Fourth for onboarding or payroll setup, from the moment their form is saved through to a completed onboarding. It shows how many are pending, in progress, stuck or done, broken down by location, division and job title.
Access & Permissions
Fourth Reporting is part of the Reporting+ package. There's no separate permission to switch on: if your organisation has Reporting+, Fourth Reporting and its standard reports are simply there for you to use.
To use it:
Build a report manually. Create a new report and select Fourth Reporting from the list of reporting models.
Reporting Intelligence. Type a plain English question, for example “how many completed onboardings did we have this month?”, and Tali will work out that it belongs to Fourth Reporting automatically, so you don't need to select it yourself.
Use a standard report. The five ready-made reports below are already available in your Reporting suite.
Note: the data in Fourth Reporting refreshes every 30 minutes, so a very recent change may take a short while to appear. Each row is also one Fourth record, not one person, so someone onboarded more than once, for example after being rehired, will appear more than once.
What You Can Report On
Fourth Reporting covers everything captured on the Fourth New Starter form once it's been saved to send to the candidate or start onboarding, plus a link back to the vacancy the person was hired against. That includes:
Who the new starter is. Name and contact details. Fourth Reporting has no link back to your applicant records, so it needs its own way of identifying who a row is about.
Where and what they're joining. Location, division and job title, plus a cross reference back to the vacancy itself, including the vacancy's own job title and status. These can genuinely differ from the new starter's Fourth details, for example after a promotion or a transfer.
Employment details. Start date, contract, employment type, pay type, FTE and holiday entitlement.
Key dates. When the form was sent to the candidate, when it came back, and when it was submitted to Fourth.
Right to work summary fields.
Note: there's no Cancelled status. If an onboarding is cancelled in Fourth, it currently shows as Error or as unknown status rather than as Cancelled.
Standard Reports
Five standard reports come ready-made with Fourth Reporting, sitting in your Reporting suite alongside your other Talos reports:
Report | What it shows |
Fourth: Total Hires via Fourth | Completed new starter onboardings sent through Fourth, by month, showing your hire volume trend for the year. |
Fourth: Upcoming New Starters | Everyone due to start in the next 30 days, along with their current onboarding status, job title, location and division. |
Fourth: New Starter Forms Not Returned by Candidates | Candidates whose onboarding form was sent 14 or more days ago and hasn't come back yet. Your chase list for following up, with a contact for each one. |
Fourth: Onboarding Errors to Resolve | Individual candidates currently stuck with a Fourth error, with the error message and their contact details, so you can see what's gone wrong and who to follow up with. |
Fourth: Submissions Detailed | A full detail list of every Fourth submission this month to date, with candidate, job and status information, for exploring the underlying data directly rather than a ready-made summary. |
What Fourth Reporting Doesn't Cover
Any custom onboarding questions you've added to your own Fourth form. These aren't included.
Sensitive personal data such as bank details, National Insurance number, date of birth, passport number, home address or next of kin. None of this is available in reporting.
Questions to Ask Tali
Name a location, division or job title in your question and Tali will filter to it automatically. Some examples to try:
“How many new starters are stuck in progress at the Bristol depot?”
“Show me completed onboardings by month this year.”
“Which new starters are due to start in the next 30 days?”
“List anyone whose onboarding form was sent more than 14 days ago and hasn't come back.”
“How many Fourth records are currently showing an error, by location and division?”
“Give me a breakdown of new starters by status for this division.”
“Show me every Fourth submission sent this month, with candidate and job details.”
