Creating and amending Communication Templates

Learn how to create a new email or SMS template to communicate with candidates, agencies, referees or other users

Talos allows you the ability to create and amend your own communication templates, which include email and/or SMS templates.

These communication templates can be used to quickly send emails or SMS's from the system without needing to type these every time and templates can be assigned to progression stages so they can be sent automatically, or can be sent ad-hoc if needed.

Note: you will need to have access to the ‘System Administrator' permission in order to create and edit email and SMS templates on the ATS.

Communication Template Setup

Email Templates

To create a new email template, you will need to access the 'Edit Communication Templates' admin screen, when signed into Talos and then click on 'Create New Template:

Under the 'Template Details' section you can give your new communication template a name and select a template category to assign the template to:

Note: a template can only be assigned to one category, however, this can be amended if required.

Tip: when naming your new template, we would advise providing a name such as 'Video Screening' or 'Send Contracts' so it is clear as to what the email template will be used for.

Under the 'Email Template' section, you can add in who the email is going to and who the email is bent sent from as well as the subject of the email and the body of the message:

For the 'To' and 'From' fields, an email address can be manually typed in, or placeholders can be used. Placeholders are useful as they will automatically generate the data, such as the email address of a candidate to send the email to, or information in the body of the email.

The list of available placeholders can be viewed by clicking on the ribbon icon next to the field name:

Example: for example, a subject could be 'Welcome to ##clientname##'. When the email is sent to a candidate, the placeholder will be updated to be 'Welcome to Talos360'.

The body of the email can be added to the 'Message' section. Placeholders can also be used within the body of the email. Talos also supports many useful tools for editing your emails within the toolbar of the Email Template Content section:

Info: the text editor in Talos for email templates has several useful features, such as:

  • Image Handling: you can drag and resize images directly within the editor

  • Browser Spell Check: automatic spelling corrections are available

  • Drag and Drop Sections: easily move sections around

  • Emojis: insert and use emojis in your text

Mobile View

The Email Template Content can also be shown in a mobile view, so you can preview what the email will look like on a mobile device:

Once you have completed content for the body of the email, the next section is adding attachments - however, these are optional.

To add an attachment to an email, click on the button and then select the attachment(s) you would like to upload to the email template:

If you are amending an email, any previous attachments will be show under the 'Existing Attachments' section. Attachments can be downloaded from the ATS from this screen by clicking on the attachment, or removed by clicking on the 'X' in the corner of the attachment name.

At the bottom of the screen you have the option to toggle SMS on by clicking on

next to 'SMS Template':

Note: emails can also be toggled off if you only need to setup an SMS template by clicking on the toggle button next to 'Email Templates'

SMS Templates

SMS templates can also be created within the same screen as email templates. They can be added along side an email template, or sent as a separate communication.

Info: if you would like to send SMS communications from Talos, we will be happy to set this up for you, as some additional configuration is needed to be able to use this feature.

If you speak to your dedicated Account Manager or Customer Success Manager, they will be happy to start the setup process for you.

If you are setup to send SMS's, at the bottom of the 'Communication Template' section, you will be able to add the content for the SMS. This includes:

  • Who the SMS is going to

  • Who the SMS is being sent from

  • The content of the SMS

Placeholders can be used for SMS's, similar to email templates.

For the 'SMS To' field, a placeholder can be used by clicking on the ribbon icon next to the field and selecting the appropriate placeholder from the list.

The 'SMS From' will include your company sending name, which is setup as part of your SMS setup. Select this from the dropdown list - when an SMS is sent from the system, this will be shown as the sender to the receiver of the text message.

SMS content can be added to the 'SMS Content' section - we would advise keeping this as concise as possible, as larger SMS's will use more of your available SMS's per message.

Workflow Assignment

Communication templates can be assigned to all workflows or individual workflows under the 'Template Options' section. Assigning a template to a workflow will allow that template to be available when creating your recruitment workflow:

By default, all workflows are selected when creating a new communication template. If you would like the template to only be available to certain workflows, you can select these from the 'Select a Recruitment Workflow' dropdown:

Once you are happy with your communication template, click on 'Save' in the lower right-hand corner of the page.
