Managing your Application Forms

Learn how to manage your application forms, such as adding, removing and reordering questions on the form.

Talos allows you full control to manage your forms, including creating and amending your application forms.

Application forms are the first form that a candidate completes, capturing personal details and answering questions about employment history, education history, and other relevant information.

Multiple application forms can be saved on your system, each tailored with specific questions to suit the vacancy being advertised.

Creating an Application Form

Creating a new Form

Note: to create forms using the Form Builder in Talos, you will need access to the ‘System Administrator' permission.

To create a new application form go to the Forms Admin screen. In the Forms Admin screen, this will show you all forms that have been created on your system, as well as various filters to limit the results.

To create a new application form, click on 'Create New Form' in the upper right-hand corner of the page and select 'Application Form' from the list:

This will load a new template for you to amend as needed to create your new application form with.

To amend the name of the form, click on 'New Form' in the upper left-hand corner of the page and replace this with the name of the form:

Note: application forms are always created with a Personal Details section, which includes personal and address information sections. The Personal Details section cannot be removed from the form, however certain fields can be hidden if they are not needed.

If you are happy with just a basic application form, which only captures the candidates personal information, you can save the form by clicking on the 'Save Form' button in the upper right-hand corner of the age and selecting 'Save and Publish':

Amending your new Form

If you would like to add any additional sections to the form, which you can add questions to for candidates to complete, you can achieve this by clicking on the 'Add Section' button or to add a pre-defined section to the form, click on 'Add Predefined Section' button underneath the last section within your application form:

When adding a new section to your application form, you will next need to click on the 'Add Row' button and then 'Add Question':

When adding a question, the 'Field Selection' window will pop up, where you can select the type of field you would like to add:

Select the relevant field you would like to add from the available options and this will be added to your form for you to amend:

You add as many sections and questions to your form as you need.

Tip: select the 'Education History' or 'Employment History' from the available field selection will add a full question controller to your application form, without the need to manually set these types of questions up on the form, saving your time when building your forms!

You are also able to add in a 'Question Bank Question' to the form, which can be created within Talos and set as a reportable question.

With this option, this will allow you to have bespoke reports created within Talos based on the Question Bank Questions you have added to the form.

Select the 'Question Bank' tab within the Field Selection tab and select the relevant question to add to your form.

Tip: if you have questions which need to be added to multiple forms, question bank is the best way to achieve this, as you will only need to create the question once and add this to any relevant form you wish to add the question to.

Add Predefined Section

Adding a predefined section to your application form will add a fully complete question set to your application form. The available predefined sections we have built in the ATS are:

  • Diversity - N.I

  • Diversity

The Diversity and Diversity N.I sections are Equality and Diversity sections, and are fully reportable within Talos using the relevant reports within Talos' reporting suite once the question(s) have been added to your application form(s).

Amending your Questions

The form builder within Talos has many useful features to modify the look and feel of your application form, from re-ordering questions on the form, adjusting the size of the question boxes, hiding any questions that you do not need to be answered and setting questions as mandatory or optional.

You can reorder questions within the same section by dragging the question you would like to move and placing this in the relevant position within the section:

To adjust the size of the questions within a row or column, click on the pencil icon within that row/column and then adjust the size using the slider in the right hand column:

To hide a question, click on the 'eye' icon on the question you wish to hide from the form:

Note: Hiding a question from the form will keep this from displaying on the application form to potential candidates. Hiding questions can only be actioned on questions that have been added to controllers.

There are also various different options when amending your questions on the application form, via the Properties section, which is shown on the right-hand side of the screen when editing a question, including:

  • Setting if the question is required

  • Setting the min and max length of the question

  • If the question is to be unbiased

  • If the question is conditionally shown, based on the answer of a different question

Note: depending on the question type, different options will be available when editing the properties of the question.

Once you are happy with the form, click on 'Save Form' in the upper right-hand corner of the screen and select 'Save and Publish' from the available options to save your form as a live form to be used when posting jobs.

Note: when saving your form, there are 3 different form types you can save you form in:

Standard: a standard application form is the default application form in Talos. This is used when posting a role. A candidate will complete this application form and once completed, they will be uploaded to Talos.

Agency: this form type is used when releasing a role to an agency/agent. These forms are usually tailored to agents, to ask the candidate specific questions, such as salary expectation, reason for uploading candidate etc.

Internal: this form type is used when posting a role for internal staff. The questions can be tailored to suit for internal people at the company.
