Learn how to assign forms and documents to your jobs

Jobs can include various forms, such as data capture forms and scorecards, as well as additional documents like job descriptions.

These resources enhance the recruitment process by allowing for the scoring of candidates, collecting extra information through data capture forms, and displaying relevant documents on the vacancy listing and careers page if needed.

This streamlined approach ensures a comprehensive and organized recruitment process for each specific job.

Note: to assign a scorecard or data capture form to a job in Talos, you will first need to have a live form on Talos.

Assigning Forms

There are various ways to assign forms to a job, depending on the form. Please see the individual forms below which goes into detail on assigning forms to a vacancy.

Scorecards

To assign a scorecard to a vacancy, you will first need to access the job settings screen of the job you would like to assign a scorecard to.

In the job settings screen, click on 'Forms' and then 'Scorecards' and then click on 'Assign Existing Form':

From the 'Assign new Scorecard' screen, select the scorecard you would like to add to the job from the dropdown list and select any relevant users who need to complete and click on 'Save assignment' once you are happy with the setup:

Note: if 'Any User' has been selected for a respondent, this means that any user who has access to that job will have access to complete the scorecard.

Multiple scorecards can be assigned to a job - repeat the above process for any additional scorecards that need to be assigned.

Data Capture Forms

Data capture forms can be assigned to job posts in different ways depending on the need. They can be assigned to all vacancies, or on an ad-hoc basis to specific vacancies.

Option 1 - All Vacancies

Note: To assign forms to all vacancies, you will need to have access to the Progression Stage administration module against your account.

Option 2 - Ad-Hoc

Note: for this option, you will need access to the Data Capture Forms admin module.

To assign a data capture form to a vacancy, you will first need to access the job settings screen of the job you would like to assign a data capture form to:

In the job settings screen, click on 'Forms' and then 'Data Capture'. You can then assign the data capture for a specific stage by selecting 'Add New Property' or to the top level of the job:

Info: assigning a data capture form to the job level will add this form any time the data capture placeholder has been linked in an email template.

Assigning a data capture for a specific stage will only send the form once a candidate has been moved to that stage if the data capture form links placeholder has been added to the email template.

Selecting either option will load a pop-out window for you to select your data capture form, which email to send to the candidate and if you would like an email to be sent once the form has been completed:

Assigning data capture form at job level:

Click on 'Assign' once you are happy with the setup of the form and this will link the data capture form to that job. You can repeat this process to add additional data capture forms if required.

Assigning Documents

Documents can be added to a job in Talos and these can be setup so they can only be access internally on Talos for other members of the recruitment team, or they can setup so they can be visible on the careers page, so candidates are able to download these documents.

If you are using the Agency Portal feature in Talos, you can also have documents visible on the job post on the agency portal for agents to download and view.

To assign documents to a vacancy, navigate to the job you would like to add documents to and click on the 'paper' icon in the upper right-hand corner of the vacancy:

In the Manage Vacancy Documents section, click on 'Upload new media' and select the document(s) you would like to upload from your device.

Once the documents have been uploaded, this will display in Talos and provide some additional options for the document:

Under the 'Document Access' column, you can select:

  • Private - only shown in Talos

  • On Careers Page - documents will be shown against the job description and application form on the job post

  • Internal Only - only available for download in Talos

  • Agency - documents will be shown against the job description on the agency portal

Select the relevant options per document for who you wish the document is available for - each document has its own set of permissions.

Documents can be downloaded from the job post in the Manage Vacancy Document section within Talos or be deleted if required:
