Interview Scheduler - Connecting your Calendar & Video Providers

Learn how to connect your email calendar and setup your video providers with the Interview Scheduler feature

Want to see your availability within Talos for scheduling interviews, without needing to open up your calendar? With Interview Scheduler in Talos, you can link your work calendar which will give you an instant view of your available times.

Connecting your calendar

In order to gain the most from this feature, you must connect your calendar – this will allow Talos ATS to read your availability, create diary entries directly, and will also enable you to utilise MS Teams for video interviews.

To connect a calendar, you will need to log into your Talos ATS and complete the following steps:

From the user menu, select Interview Scheduler:

In the Calendar Settings screen, click on 'Connect your Calendar':

Select the relevant option based on which system you use for your emails:

Agree to the Terms of Service for Cronofy, to link your calendar to Talos:

On the next screen, you will be prompted to sign in to your work account. You may also need to accept the requested permissions:

You will then be redirected back to Talos, and you can specify:

  • Calendar Settings

  • Default Working Availability

Calendar Settings

These settings will help to determine the availability that will be sent to candidates for Self Schedule bookings:

You can control the following from Calendar Settings:

  • Limit the number of daily interviews

  • Limit the number of weekly interviews

  • Prevent candidates from booking an interview on your current working day

Additional Settings

  • Ignore your availability for bookings – by having this switched on, candidates will be able to double book in your diary. This is particularly useful if you need to organise interviews but do not need to attend them.

  • Set meetings as private - when enabled, any meetings that you create will be marked as private. If you add any additional interviewers, the meeting will be private in their calendars too. This setting applies to individual users and cannot be modified per booking.

  • Ignore all meetings in my calendar, other than Talos scheduled interviews - when this setting is enabled, all meetings in your calendar will be ignored when sending availability to candidates, with the exception of any interviews scheduled via Talos ATS. You will not be able to double book interviews via Talos ATS, however candidates will be able to select any time where you have any other meetings in your calendar. This setting applies to individual users and cannot be modified for individual meetings.

  • Ignore meetings accepted as Tentative – by having this switched on, any meetings that are in your diary with a status of Tentative will be ignored when sending availability to candidates.

Self Schedule Settings

  • Interview Date Range – this is the date range that will be sent to candidates and can be amended per booking

  • Interview Duration – this is how long an interview will last for each candidate and can be amended per booking

  • Time Buffer Increments – this is any time you require between each meeting in your diary, to allow for interviews running over etc. This can be amended per booking.

Start Time Settings

Start Time Interval:

  • From here, you can set the default intervals at which interview slots will start. For example, choosing "15 minutes" allows applicants to book interviews at :00, :15, :30, or :45 past the hour.

  • The start time interval will be applied when arranging a booking for:

    • Specific Times / Group Bookings - suggested times will generate based on your default start interval.

    • Self Schedule - available slots in your calendar will have a start time based on your default Start Time Interval, whilst also calculating the interview duration and time buffer.

  • This setting applies to all interviews where you are the organiser and cannot be changed per booking.

Allow meetings to start at the selected Start Time Interval when this is shorter than your Interview Duration:

  • We would highly recommend this setting to be switched on, as it works in conjuction with Start Time Intervals.

  • Interviews can start at different intervals as determined by your Start Time, creating more available booking slots for applicants. When disabled, start times will strictly align with your interview duration.

    Example:

    • Enabled: Interviews with a 30-minute duration, with a Start Time Interval set to 15 minutes. Available start times for an interview would be 10:00, 10:15, 10:30.

    • Disabled: Interviews with a 30-minute duration, with a Start Time Interval set to 15 minutes. Available start times for an interview would be 10:00, 10:30, 11:00.

  • Each booked slot remains exclusive, so no two meetings will occur simultaneously.

Default Working Availability

This is where you can specify any dates and times that you are or are not available each week. The availability set in here combined with any meetings that exist in your Outlook calendar will determine the available interview slots that will be sent to candidates:

You can add or remove availability according to your working week. Alternatively, you can leave this as the default selections and only the meetings in your Outlook calendar will be considered when creating available slots for candidates.

Video Providers

You can either rely on connecting to a video provider through an integrated calendar or manually connect to a Video Provider. Integrated providers are as follows:

  • Office 365 calendar - automatically connects Teams.

  • Google calendar - automatically connects Google Meet.

Once a calendar is connected, if you require a different video platform, you can connect a video provider from the Settings page:

The additional options currently available are:

  • Zoom

  • GoTo

You will connect to these in the same way you connect to a calendar, by going through the authorisation process and logging into your relevant account.
