A run through of how to upload and track candidates that you have uploaded in the Agency Portal

Have you been invited to upload candidates to roles by a Recruitment team? Talos Agency Portal gives you the ability to review all roles that have been released to you, and upload candidates against these roles so recruiters are able to review and progress these within the ATS.

Info: you will need an account setup with our Agency Portal which will allow you to sign in and upload candidates to any roles that have been released to you.

You can login to the Agency Portal using your email address and password.

Viewing Roles

When you have signed into the Agency Portal, you will be shown all live roles that have been released to you from all clients:

The Vacancies page will show you some basic information, including:

  • Job title

  • Location

  • Salary

  • When you received the role

  • How many candidates you have uploaded and where these are in the recruitment journey

  • The client who's role it is

You can filter and order roles based on:

  • Client

  • Vacancy status

  • Order by date received or client

  • Order by ascending or descending

Filters can be applied at the top of the Vacancies screen:

Uploading a Candidate

To upload a candidate, click on the role you would like to upload them to in the Vacancies screen and this will load the role and display additional information such as the job description by clicking on 'Vacancy Details':

To upload a candidate to the role, click on 'Add New Candidate' and complete the application form that will be shown on screen:

When the validation has completed from the personal details, the remainder of the application form will be displayed to be completed.

Note: the validation will only fail if the candidate has already previously applied for that role, or for the client, depending on their portal rules.

Once all of the details have been completed on the application form, click on 'Next' in the lower-right hand corner of the form to upload the candidate:

Once a candidate has been uploaded to a role, they will be shown down the left-hand side when viewing the role. You will be able to see:

  • When they applied

  • Their completed application form

  • The candidates timeline, which updates as they are progress by the recruitment team

You will also be able to leave notes against the candidates application which the recruiters will be able to review in Talos:

Releasing a Candidates Email

By default, when a candidate is uploaded to a role, your email will be shown as the candidates email to the recruiters in Talos. Any emails that are sent to the candidate will be sent to your mailbox.

If a recruiter asks you to release the candidates email, so they are able to send any offer packs, DocuSign or Right to Work checks direct to the candidate to complete, you can release the candidates email directly within the Agency Portal.

Note: only you are able to release the candidates email. Once the email has been released, it cannot be hidden again.

Find the candidate you need to release the email for and click on the icon next to the candidates details:

A pop-up will be shown to confirm that any emails that are sent to the candidate once the email has been released will go direct to the candidate. This action cannot be undone:

Once confirmed, the email will be updated in Talos for recruiters to see.

Reviewing Candidates

You are also able to review all candidates you have uploaded to the Agency Portal by clicking on 'Candidates' via the left-hand sidebar:

This will show you:

  • Candidates name

  • Client the candidate was uploaded to

  • Progression stage the candidate is currently at

  • Days since they had been uploaded

  • Basic job information

You can also filter candidates using the filter options at the top of the page:
