Amending Data Capture Forms
With the integration connected, two new data captures forms will automatically be created in your system and you can view these within Form Admin.
Within the data capture forms, you will be able to add in the data values from within your ADP system, that were provided to you by ADP.
To add the data values, click on ‘Edit and Replace’ against the data capture form you need to amend.
Click on the question you would like to add the values to and in the right-hand side of the screen, the Properties of the question will show. Here, you can add the values by clicking on ‘Add Option’ and adding in the option(s) required:
Click on 'Save Form' in the upper right-hand corner of the screen to save the changes to your form.
Assigning ADP to Profiles
Go to the 'Edit Profile Settings' screen and select the relevant profiles from the 'Profile' dropdown that you would like to link the ADP integration to.
Click on the 'HR Connect' tab and then select the 'ADP' integration from the list:
Note: if you are utilising any additional Onboarding features in Talos, you are also able to setup pre-onboarding checks with this integration.
This ensures that candidates are only submitted to ADP once all onboarding actions have been completed.
Select the relevant checks you would like to enable:
Click on 'Save' in the lower right-hand corner to link the integration to the profile.
Adding Auto Action and Data Capture Forms to Progression Stage
Info: this is an optional step. If you would like to send candidates manually only, this step can be skipped.
Auto Action
You can also setup an Auto-Action to send a candidate’s details to ADP automatically once they’ve have been moved to a specific progression stage.
Go to the 'Progression Stages Admin' screen and select the profile you would like to set the auto action up on. On a stage in the Offered or Hired millstone, select the progression stage you would like to setup the auto-action against, click on ‘Add Auto Action’ and then select the ‘Send to Talos Connect’ action from the dropdown list:
Note: for this to work correctly, the data capture forms, and any additional details will need to be completed prior to moving the candidate to the stage with the auto action setup against.
Data Capture Forms
At the bottom of the screen, under the ‘Data Capture Forms’ section, select the data capture forms from the list and click on ‘Add Selected’ to add the data capture forms to that stage and then click on ‘Save’ to save the changes:
Note: for an external data capture form (data capture form that the candidate must complete), you will also need to assign an Auto-Email to the same stage you assign the external data capture form so that the candidate is notified and provided with the link to complete. This auto email must have the placeholder of ##hrconnectformlinks## in the body of the email to generate the link to complete.
If you are assigning an external data capture form to a stage where other data capture forms are assigned (that require the candidate to complete) and an email to the candidate is already assigned, you do not need to create a new email as the link to the new form will be included in the existing email when sent to clients.
For internal data capture forms (data capture forms that an ATS users must complete), you do not need to assign an email as the form will appear against the candidate’s profile in the Data Capture Forms accordion when the candidate reaches the relevant stage the form is assigned to.
Candidates can still be imported to ADP manually once all mandatory information has been completed.
