Details on various options that are available when setting up an import between Fourth and Talos

Team Import File Name:

This is the name of the Structure file from Fourth, that contains your data including Location, Division and Job Title.

Posting Team Mappings Import File Name:

This is the name of the file that is required in order for your Talos ATS to be set up correctly - this file will be completed by your Talos360 Service Consultant, and will map the below data to the relevant Workflow:

  • Default Application Forms

  • Advert Templates

  • Posting Teams

Concatenate Team Name:

This tick box will dictate the name of your Hierarchy Teams within your Talos ATS.

If this option is ticked, your Hierarchy Team name will comprise of a combination of your imported data. For example, if you were to import your Locations and Divisions, your Hierarchy Team name would be “Location X - Division Y”.

If this option is not ticked, your Hierarchy Team name will simply be your Location because this is the first column on your Fourth structure.

Root Parent Hierarchy ID:

This is the parent team in your overall hierarchy and is required in order to import your Fourth data - this ID will be created and provided to you by your Talos360 Service Consultant.

All imported Hierarchy teams will then be added below this.

Prefix of Deleted Teams:

This is the text that prefixes any unused data on your Fourth structure. For example, if you have a site that is no longer open, then this will still be on your Fourth structure but will be prefixed with something such as;

“DONOTUSE-Warrington Site”

“DO-NOT-USE-HR Manager”

“Zz-Manchester Central”

Your prefix for unused data should be the same across your Fourth structure, and this prefix should be added to this field in order to:

Prevent any unused Fourth data from being imported to your Talos ATS initially.

Ensure that any Fourth data that is no longer required after the initial import moves to the Deleted Teams hierarchy node, and can no longer be posted to. This will happen during any updates to the import files.

The prefix should match your Fourth structure exactly, like the below:

Deleted Team Hierarchy ID:

When running your import to update your Talos ATS based on any changes within Fourth, any Fourth data that is now unused will be moved to a Deleted Teams node within your hierarchy.

This is required prior to running your import and the ID will be created and provided to you by your Talos360 Service Consultant.

Create Posting Teams From Job Titles:

This tick box will dictate whether your Job Titles in Fourth will also be the names of your Posting Teams.

Your Posting Team(s) is the settings that are used when posting a job against a Workflow, such as available Job Boards and Advert Templates.

This allows you to assign users to Posting Teams so that they can only post specific Job Titles.

If this option is not ticked, your Posting Teams will be manually created by your Talos360 Service Consultant.

Account External ID Field:

This will link your Fourth employees to your Talos ATS accounts. A unique identifier must be used, and this is generally the Payroll Number from Fourth. You can also use the Work Email from Fourth.

Assign User to Division Hierarchy:

This tick box will dictate whether a Fourth employee will be assigned to Divisions within the Hierarchy. If you have ticked this, your Division can be specified in the next field.

If this option is not ticked, then your users will be assigned to the hierarchy based on the Account External ID.

Assign Specific Team to Division Hierarchy:

This only needs to be completed if you have ticked Assign User to Division Hierarchy, and is where you will specify which Division within the hierarchy users should be assigned to.

This should be in the following format:

["Head Office"]

or if there are multiple Divisions to assign to, then this should be in the below format:

["Head Office","Kitchens"]

Import Tick Boxes

The tick boxes for the below will determine which data from Fourth is imported:

  • Import Locations

  • Import Divisions

  • Import Job Titles
