Need to update other members of the recruitment team on a vacancy? Learn how to create vacancy notes directly against a vacancy!

Vacancy Notes in Talos allow you to leave notes on a vacancy updating other members of the recruitment team on anything related to that vacancy.

Notes can include tags, such as 'Important' or 'Completed' etc or other users on the system can be mentioned directly in your note.

Adding a Vacancy Note

Navigate to the vacancy you would like to add a new note to and select the 'speech bubble' icon in the upper right-hand corner of the vacancy:

This will load the 'Vacancy Notes' pop-out window on the right-hand side of the screen. Click in the text box at the bottom of the page and type in the note you would like to add. To submit your note, click on the 'post' icon:

When text has been entered in the text box, the 'Add Tag' box will highlight - click on this to select tags to add to the note, giving other users of the system some further detail behind the note:

Info: additional tags can be added to your ATS if required. If you would like additional, bespoke tags adding, please raise a support ticket with the below detail for these to be setup:

  • Name of tag

  • Colour (this can be red, amber, green or grey)

  • If the tag needs to have the 'i' icon displayed

Filter Notes

Once notes have been added to a vacancy, you can filter these based on the user(s) who has posted or via the tag(s) that have been selected against notes.

To filter notes, click on the 'Filter by Users' or 'Filter by Tags' and select the relevant options from the dropdowns:

Filters can be applied across both dropdowns to find specific notes left by user(s) and tag(s).

Editing and Deleting Notes

Note: you must have the below permissions to edit and delete vacancy notes against your user account:

  • Can Edit Own Vacancy Notes

  • Can Delete Own Vacancy Notes

  • Can Delete Others Vacancy Notes

These are all individual permissions so can be enabled individually.

Delete a Note

To delete a vacancy note against a vacancy, find the note that you would like to delete and click on the 'Delete' button next to the note:

A confirmation message is shown before deleting the note. Click on 'Delete' to permanently delete the note:

Edit a Note

To edit a note, click on the 'Edit' icon next to the note you wish to make amendments to:

This will make the note editable, including editing the text as well as the ability to update the tags. Once you are happy with the changes, click on 'Save':
