What is Indeed Job Sync?

We have upgraded how Talos sends your vacancies to Indeed – moving from an XML feed to Indeed's Job Sync API.

Job Sync is a more direct, real-time connection between Talos and Indeed. Rather than waiting for the next scheduled feed updates, changes are sent across to Indeed as soon as they happen in Talos.

What this means for you

  • Faster job posting – new vacancies will become available on Indeed sooner.

  • Faster vacancy updates – changes you make to a vacancy will be sent to Indeed shortly after the vacancy is reposted.

  • Quicker removal of closed vacancies – when a vacancy is archived or expires on Talos, this will also be processed and removed from Indeed much faster.

  • Better visibility within Talos – you'll be able to see the Indeed status of your vacancies within the Job Post History screen, giving you greater visibility of which vacancies have successfully been sent to Indeed.

  • Ability to manage your Indeed account from Talos – you'll be able to connect your Indeed account in Talos, making all vacancies posted from Talos available in your Indeed dashboard, to sponsor the vacancies that matter most, providing you with the highest quality candidates and improved visibility on Indeed.

Creating a Vacancy for Indeed

Connecting your Indeed Account

You can now connect your Indeed to account to Talos via a dedicated admin screen. Simply input your company and Employer ID (which can be found in your Indeed dashboard) and connect to Indeed. This ensures all vacancies posted via Talos are available on your Indeed dashboard.

Posting a Vacancy to Indeed

Simply post the role to Careers Page and Talos will do the rest.

Sponsoring a Vacancy on Indeed

All jobs posted from Talos will be available in your dashboard on Indeed, meaning that you do not need to manually create the job in Indeed to sponsor. From Indeed, you can also create campaigns to auto sponsor any jobs.

Best Practice for Posting to Indeed

What adverts will not be posted to Indeed via Talos?

  • Adverts being posted directly in Indeed – this could result in duplicates and may lead to Indeed blocking your account.

  • Self-employed, commission only, internship, and volunteer roles will not be displayed on Indeed.

  • Adverts posted with a URL Redirect (if this is something which you need to do please contact Talos Support as we may be able to offer a different solution).

  • Including anything other than the job title within the job title field can result in the advert being blocked by Indeed. For example, ‘Assistant Manager - Part Time’, and ‘Sales Executives Urgently needed’.

Locations

The postcode of an advert determines where the location is advertised on Indeed so the location of the postcode will take precedent over the Location field within Talos. Please always provide a postcode where possible.

Location Blasting is when the same role is advertised in multiple locations to gain more traffic for one advert. Indeed do not allow this, and will result in the adverts being removed and your account being blocked.

Why is my advert showing as Remote?

Job adverts with certain words and language patterns will be added to different display areas. For example, the mention of remote or home working within the advert copy, Indeed will display the location as remote.

Salaries

How should I enter salary information to make sure it displays correctly on Indeed?

Enter accurate salary details using the dedicated salary fields in Talos, rather than relying only on Salary Text Replacement or the job description.

Indeed requires the salary shown on your careers site to match exactly what's sent through the sync, so using the structured fields is the most reliable way to keep this accurate. You are able to hide the salary, meaning the salary input to the dedicated fields will not show and be replaced based on your Salary Text Replacement.

What if I want to use specific wording, like "Up to £12.50 an hour" or "From £30,000, depending on experience"?

You can add this a Salary Text Replacement information on the vacancy, but it needs to match the values in the salary fields to avoid Indeed showing inconsistent information. A few tips for the wording itself:

  • Keep the currency, amount and pay period close together, e.g. "£12.50 an hour" rather than splitting these apart.

  • Use "From" or "+" to express a pay range that starts at a value, and "Up to" for an upper limit.

  • If pay includes tips or bonuses, add these after the base pay – e.g. "£15 an hour + tips".

What should I do if a role doesn't have a defined salary?

Leave the salary fields blank rather than entering zero. A salary of "£0" implies that's genuinely what's being offered, which isn't accurate, and can cause the vacancy to display incorrectly on Indeed.

Are there any formatting tips to help Indeed display pay information correctly?

Yes – a few best practices worth following:

  • Use a standard pay period (per hour, day, week, month or year) rather than an unusual one (e.g. "per shift").

  • Use your country's standard number format (e.g. "£30,000" rather than "£30k" or "£30.000").

  • Only include one pay rate per vacancy – if pay varies by experience or location, use the lowest and highest values as a single range rather than listing several rates.

Why does the salary on Indeed sometimes look different to what's on my careers site?

This is usually caused by pay information being entered in more than one place – for example, once in the structured salary fields, and again worded differently within the job description. Keeping this consistent, and ideally entering it only once in the salary fields, will minimise any mismatches appearing on Indeed.

How can I refresh the advert on Indeed via Talos?

If a job is updated in Talos, those changes will update the existing live posting. It will not “bump” the job to the top of organic listings just because it was edited and will not reset the job’s original post date/age or automatically boost organic ranking/position.

Can I improve the visibility of organic listings?

Organic visibility is driven by relevance, jobseeker behaviour, market supply/demand, quality signals, recency, and sponsorship. Editing content alone doesn’t force a vacancy to the top of the listings.

This is particularly prominent as AI plays a bigger role in recruitment. Indeed are frequently reviewing Quality Assurance processes, ensuring the best and most relevant vacancies are listed on Indeed to provide customers with the best suited candidates. This process includes the reduction of duplicate roles, and limiting "refresh" reposts intended to make old listings look new.

If you need a fresh placement, we recommend closing the existing vacancy and publish a new one (new job ID) or use Sponsored Jobs to gain prominence whilst remaining mindful not to create duplicates.

Indeed Apply

Indeed Apply allows the applicant to complete their application on Indeed, without being redirected to your careers page, as long as the field type is supported by Indeed Apply. This helps to reduce the drop out rate of applicants completing their application whilst ensuring candidates follow the same application process as any other job board.

What field types are NOT supported by Indeed Apply?

How do I set up Indeed Apply on my adverts posted via Talos?

When saving your application form, ensure the ‘Generate Indeed Json’ box is selected. When an advert is posted using this application form this will automatically send the information to Indeed and Indeed Apply will be applied.

Please note, the application form must contain only supported fields.

FAQs

Do I need to change anything in Talos for the Job Sync to work?

No. The migration is handled entirely between Talos and Indeed. Your existing job posting process stays exactly the same.

Why does my company or source name need to stay consistent on Indeed?

Indeed matches your vacancies using your company name, and the hierarchy display name attached to each job. If these names change or are entered inconsistently, Indeed may treat these as different sources, which can lead to jobs being flagged as duplicates and reduce their visibility on Indeed.

These names are set within your Company Details and Hierarchy, so if you manage multiple brands, sites, or trading names, it's worth checking that the name used is consistent every time a vacancy is posted under that brand.

What if I need to change a source name?

You can update this within the relevant level of your hierarchy in Talos, by editing the Display Name. We'd recommend picking one consistent name for each brand, rather than switching between variations, as repeated changes can cause Indeed to treat the vacancy as a new, duplicate post.

Will this affect vacancies that have already expired?

With the faster sync speed under the new API, expiries and deletions will now reflect on Indeed within around 15 minutes, so there should be minimal delay between a vacancy closing on your careers site and it being removed from Indeed.

Where can I check whether a vacancy is live on Indeed?

The Job Post History screen in Talos will show you the live status of each vacancy on Indeed, so you can check this at any time without needing to search for the vacancy or log in to Indeed directly.

What do I need to do if my account is blocked by Indeed?

You will need to speak to Indeed directly, if you have an Account Manager at Indeed, they will be able to advise why the block has been put in place. You can also use the Contact Us page from your employer account to gain more detailed assistance regarding the block.

If you are unsure who your contact is, log in to your Indeed account and navigate to “Contact Us.” There, you’ll find the contact details for both your Sales Representative and your Customer Service Representative.

If your account isn’t assigned to a rep the Shared Support team will pick up the request.
