Vacancy Settings

Find out how to manage the settings for each vacancy in the new Applicant Screen Experience.

Navigating to Vacancy Settings

To access the page, you will require the relevant permission (read more about Applicant Screen permissions in this guide).

Once you are on the new Applicant Screen, click into your Vacancy Manager and select Vacancy Settings.

You will then be directed for the settings for the vacancy you are on. The settings are a copy of those available at a workflow level, allowing you to make changes that will apply to this vacancy only.

You can also select the Job Settings option against a role from your Vacancies dashboard.

Vacancy Management (Settings)

This tab will currently only show if you are using Unbiased Recruitment, where you will be able to view a read-only mode of your unbiased settings, showing which User Role has unbiased recruitment configured, and at which milestone.

Candidate Management (Settings)

Communication Templates

You can view email templates assigned to your workflow, including:

  • Mass Mails - templates available when communicating ad-hoc with candidates.

  • Forward Emails - template used when forwarding candidates to an external email address outside of Talos.

  • Resume Email - the template used when sending a candidate the link to resume their application.

You can preview the emails selected, or you can change the template(s) to send for this job only.

Interview Scheduler Emails

Candidate Management also allows you to manage the email templates for Interview Scheduler per vacancy, allowing you to:

  • Amend the email content for either the invite, confirmation or cancellation emails that are sent to the candidate.

  • Attach documents such as interview directions or an interview task.

Simply select your email to amend:

The email editor will then load the selected template allowing you to edit and save the content as required per vacancy.

You can also configure your Interview Scheduler reminder settings per vacancy, where enabled at workflow level.

Candidate Onboarding (Settings)

From here, you can manage your Onboarding settings, including the Onboarding site and the invite email.

Any published Onboarding sites can be selected from the dropdown, and the site selected is the site candidates will view when they are invited to Onboarding via the Offer Details accordion.

The invite email can also be previewed and a different email selected. If changing the email, the selected template must include the Invite to Onboarding placeholder to allow candidates to access the Onboarding site.

Documents

This section allows you to upload documents, and choose where they should be available. You can also manage any documents that are uploaded. Any documents uploaded to an ATR request will be available in this section once the request is approved and posted.

Note: additional features of Vacancy Settings are still being added. Launched with the above in June 2026, we are actively expanding the page, including a Workflow tab to manage your progression stages & actions at vacancy level. We'll update this article as new tabs go live.
