Milestones & Progression Stages
Milestones
Milestones are shown as tabs across the top of the candidate list, each with a live candidate count, so you can see volume at each stage of the journey without opening every tab.
The new milestone view will provide any users with Unbiased Recruitment clear visibility over which milestone is set as unbiased. You can view more about unbiased recruitment in this guide.
Progression Stages
You can hover over each milestone to view a count of candidates at each progression stage within the workflow.
The progression stage list when reviewing candidates has also been updated to show which action is on a stage when progressing a candidate, providing more visibility to users as to what will happen when a candidate is progressed. You can view more about progressing candidates in this guide.
Note: If you request to rename a progression stage, any candidate already sitting at that stage keeps the old name. Only candidates newly moved to the stage will see the updated name – this is intentional, and preserves an accurate historical record.
Candidate List
The candidate list now surfaces more information than ever, so you can assess candidates without opening every profile. Information in the candidate list includes:
Key candidate information – including their name, current employment and relevant flags for internal candidates.
Time in Progress Stage – how long a candidate has been sitting at their current stage.
Highlights – key information surfaced directly on the list.
Notes icon – shows how many notes exist against the candidate for that job.
Star Rating and Application Form Flags – highlighting key information at a glance relevant to each candidate.
System Flags – such as Right to Work statuses.
Talos Connect score – where enabled, shown directly on the candidate card, with the option to sort candidates by score to quickly identify the strongest matches.
Reject Reasons – shown against any candidate who has been rejected.
Candidate Activity Panel
A collapsible panel on each candidate's profile, where you can manage the details that help you track, organise and assess them.
Candidate Information
Within the candidate panel, you can view and manage the following information:
Tags – apply tags to a candidate for easier filtering and searching later. Any tag that is added a candidate will also be available on other application across Talos (pending each of their applications uses the same email address)
Star Rating – rate a candidate to flag them for yourself or your team.
Highlights – use colour-coded highlights to surface important information about a candidate at a glance.
Edit Details – edit candidate information including their name or contact information.
Custom Fields – you can now create your own custom fields, to populate additional information against a candidate that may not be captured against an application, or that is only relevant to your internal processes. See more on this below.
Data Retention Status – view a candidate's data retention status, with the option to anonymise a candidate before their scheduled anonymisation date.
Custom Fields
Capture additional data on an application that isn't covered by a standard field. Field types include:

Custom Fields are completely configurable, so you can set up exactly the data you need to capture. This data will be available in the Candidate Activity Panel for users to complete, and is also usable when building reports, allowing you to report on the custom data you've captured alongside your standard candidate and application data.

Candidate Notes Tab
Candidate Notes also live in this panel, with functionality including:
Tag other users to notify them of a Candidate Note
Role-based visibility on any notes that you leave against a candidate, allowing you to control who can view what
The ability to view notes across every application a candidate has made, with tooltips providing context and quick links through to the related application.
Timeline
View an audit of each candidate's recruitment journey per vacancy. The Timeline currently displays an audit for the the following actions:
Progression stage changes, including rejections
Emails / SMS sent, including a preview of the communications
Interview Details, and any updates to interviews including cancellations
Candidate Notes
Contract audits (using DocuSign)

Documents
The Documents panel brings together every document associated with a candidate in one place, replacing the previous Manage Files experience.
Upload, download and manage documents directly from the Applicant Screen
See all of a candidate's documents in a single, dedicated Documents panel, including:
CV's (application forms are not yet available to download).
Right to Work Checks
Contracts
Reference Reports
Any files manually uploaded
Permissions & Confidentiality
Download permissions for various features, including Trust ID, controls who can download documents, ensuring that sensitive documents are only viewable to the right users.
Additionally, any files manually uploaded can have permissions set against the file, ensuring correct visibility of all file types.
Where Unbiased Recruitment is enabled, redacted CVs remain securely accessible through the Documents panel in line with your existing configuration.

Sorting and Filtering
The Filters panel gives you more precise ways to narrow down your candidate list, and lets you save your searches, so you don't have to rebuild it each time you access a vacancy.
Sorting
Use Sort By to reorder your candidate list – with more sort options available than on the previous screen, including Score and Time in Progression Stage.
Filtering
Narrow your candidate list using a variety of filters, including:
Candidate type
Distance to vacancy
Time in progression stage
Star rating, highlights, flags and tags
You can now also save your filters, allowing you to save a combination of filters you might want to use again. Simply set your filters and click Save to easily filter your candidates on individual vacancies.
Note: saved filters are per vacancy, so a filter you save on one vacancy won't automatically apply to another. |
Advanced Keyword Search
You can access the Advanced Keyword Search from the Filters panel on the Applicant Screen.
Use boolean keyword searches to search for information such as previous jobs, skills, qualifications or any keywords that might be in the CV relevant to the role.
When a keyword is included in a candidate's CV, this will be highlighted, making it easier to quickly identify relevant experience.
How to construct a search
The Advanced Keyword Search uses an Azure search, allowing you to write searches including regular expressions, fuzzy searches and wildcard expressions.
Boolean Operators
By using boolean operators, you can improve the precision of your searches. Some examples include the following:

Fuzzy Search
A fuzzy search finds matches that are similar to what you're searching for. Use the tilde ~ symbol at the end of a single word to return similar matches – for example, blue~ would return blue, blues and glue.
Additional Information
We support full Lucene search in the Advanced Keyword Search, including fielded searches, proximity searches and regular expression searches. If you'd like more information on any of these search types, please reach out to our Support team.
Candidate Actions
Copy and Move Candidates
In line with previous functionality, you can copy or move a candidate between vacancies in a single or bulk action (pending you have the relevant permissions). You can also select which documents to move with your selected candidates to the new vacancy.
Select one or more candidates from the Candidate List, and select the relevant action from the Bulk Actions menu:

Communication
Selecting one or more candidates will allow you to communicate ad-hoc with candidates without moving them to a progression stage.
When candidates are selected from the Candidate List, select Send Communication from the Bulk Actions menu.
Once selected, the Communicate modal will open, allowing you to configure and send correspondence to your selected candidates.
